A chatbot should never handle a delicate complaint, negotiate a price, or replace the trust you've built with loyal customers. The businesses that disappoint with AI are the ones using it as a wall to avoid talking to their customers. Good configuration does the opposite: the chatbot handles the repetitive and hands off to a human as soon as the conversation matters — with your contact info in plain sight, never hidden.

The honest test: do you need one?

Answer three questions. Do you get calls or messages every week asking the same things? Count them — that's time a chatbot gives back. Do you lose inquiries outside business hours? Check the timestamps on your incoming emails and messages; you'll be surprised. Does your offer require explanation before purchase? Menus, allergens, service areas, appointment prep — the more questions before the sale, the harder the chatbot works.

Two out of three "yes" answers, and a chatbot is no longer a gimmick: it's a full-time evening employee, at the price of a phone plan.
